BUSINESS IT SUPPORT

Get the context of a support request before calling back.

An engineer is investigating an issue when the next customer calls. VoiceAI Lite captures the customer’s message. The AI receptionist can ask for the company, location and a description of the problem using your approved instructions. If the caller says an issue has returned, that detail reaches your support team in the summary.

Working solo or as a team. No customer service department needed.

  1. Gather the details the customer provides

Ask for the company, location, contact details and a description of the issue. A Lite greeting guides the caller to leave a message; the AI receptionist can ask follow-up questions according to your instructions.

  2. Compare with the previous support case

If the customer reports a recurring issue, your team checks the earlier case in its own support system. The summary provides the customer’s context for the investigation.

  3. Confirm the next action

A support specialist assesses the situation and agrees the next step with the customer. If the customer asks when the issue will be fixed, your team gives an estimate based on the information available or explains when it will provide an update.

For an independent IT specialist, the service gathers context for callbacks. A larger support team can use departments and named owners to organise requests by service area.

AI receptionist

Help the customer during the call

The AI receptionist can ask for missing details, answer using your service information and explain the next step following your instructions. The summary shows what the customer needs.

One work queue also works for a one-person business. A department means a call-handling service, such as maintenance.

Both include summaries, a shared work queue, ownership, Click-to-Call, Click-to-CRM and reporting. SMS depends on the plan and settings; integrations are agreed separately.

  1. Choose the help you need

Lite organises messages and callbacks. The AI receptionist talks to callers using your instructions. Review the plan, usage charges and extra department prices before ordering.

  2. Enter the business details you already know

Add contact and billing details, a department name and a greeting. For the AI receptionist, describe your services, opening hours and answers to common questions. You choose which tasks are allowed.

  3. Follow progress and try it

After accepting your order, follow preparation and any requests for more details. Once ready, test the VoiceAI number. Then set up supported forwarding and test a call to your existing number too.

The work queue runs in a computer or phone browser. Using your existing number requires forwarding supported by your carrier; carrier charges are separate.

What does your plan include?

Handling messages, summaries and callbacks works without a CRM or booking connection.

FAQ

Frequently asked questions

All questions
Does the service automatically recognise a previous support case?

In this use case, the caller describes the previous issue and your support team checks it in its own system. Automatically retrieving support history requires a suitable integration and the necessary permissions.

Is a ticket created automatically in our support system?

The enquiry and its summary appear in the VoiceAI work queue. Creating a ticket in another system requires an integration agreed separately. Without it, your team records the case using its usual process.

Can the AI receptionist give instructions or promise a resolution time?

It can provide general guidance you have approved and capture a request for a time estimate. Your support team assesses the issue, decides what to do and confirms the schedule. Its instructions define when an enquiry should be passed to staff.
