SPARE PARTS AND TECHNICAL SUPPLIES

Know the product and model before calling back.

You are serving a customer at the counter when another calls about a spare part. With VoiceAI Lite, the caller can leave the product or equipment model and details of the part they need. A salesperson reads the summary, checks a suitable option and gets back to the customer.

Working solo or as a team. No customer service department needed.

  1. The caller describes the part they need

Your Lite greeting can ask for the equipment manufacturer, model and part number, if the customer knows them. The caller’s details are captured in the message and its summary.

  2. A salesperson checks a suitable option

Take ownership of the enquiry and check product details, compatibility, stock and price in your own systems. Ask the customer for further information if the equipment or part needs clarifying.

  3. Tell the customer what is available

Start a callback from the enquiry. Discuss the option with the customer, agree any order and record the next step and its owner.

The service suits independent parts businesses as well as larger sales teams. Start with one department and extend the use of work queues as needed.

VoiceAI Lite

Capture the customer’s message

The caller leaves a message. Get a summary and a callback task to handle yourself or share with your team.

AI receptionist

Help the customer during the call

The AI receptionist can ask for missing details, answer using your service information and explain the next step following your instructions. The summary shows what the customer needs.

One work queue also works for a one-person business. A department means a call-handling service, such as maintenance.

Both include summaries, a shared work queue, ownership, Click-to-Call, Click-to-CRM and reporting. SMS depends on the plan and settings; integrations are agreed separately.

  1. Choose the help you need

Lite organises messages and callbacks. The AI receptionist talks to callers using your instructions. Review the plan, usage charges and extra department prices before ordering.

  2. Enter the business details you already know

Add contact and billing details, a department name and a greeting. For the AI receptionist, describe your services, opening hours and answers to common questions. You choose which tasks are allowed.

  3. Follow progress and try it

After accepting your order, follow preparation and any requests for more details. Once ready, test the VoiceAI number. Then set up supported forwarding and test a call to your existing number too.

The work queue runs in a computer or phone browser. Using your existing number requires forwarding supported by your carrier; carrier charges are separate.

What does your plan include?

Handling messages, summaries and callbacks works without a CRM or booking connection.

FAQ

Frequently asked questions

All questions
Does the service confirm compatibility or stock levels?

In this workflow, a salesperson makes those checks. A model or part number in the message is information supplied by the caller, not confirmation of compatibility. Lite does not look up stock or place an order.

When would the AI receptionist be a suitable choice?

The VoiceAI AI receptionist can follow your instructions to ask about the product, model and other agreed details. It can also answer approved questions about collection and opening hours. Live product, price or stock information requires a working integration agreed for that purpose.

Can another salesperson continue the enquiry?

Yes. The summary, owner, notes and handling status are available in the same work queue. A colleague can see from the recorded details what has been checked and what was agreed with the customer.
